We compared the four tools with the clearest, most verifiable pricing and feature information as of September 2026: Otter.ai, Fireflies.ai, Fathom, and tl;dv. (Grain and Avoma are also common names in this space; we haven't done the same direct verification pass on their pricing yet, so they're left out of the table below rather than included on secondhand numbers.)

A note on the Fathom figure: two independent secondary sources (vendor-page direct fetch was not accessible at the time of writing) disagree slightly on Fathom's exact annual price — one puts Premium at $16/user/month annual, another doesn't break out annual vs. monthly at all and quotes $20 flat. What each tool is actually good at
Otter.ai is the simplest and cheapest way to get real-time transcription and a decent AI summary, and its free tier (300 minutes/month) is generous enough to actually try before you buy. Where it falls short: file imports are capped even on Pro (10 a month), its Salesforce and HubSpot integrations are subject to user limits, and its Enterprise tier — the one with custom CRM and dialer integrations — is a custom-quote product, not something you can self-serve into.
Fireflies.ai has the deepest integration list of the four once you're on Pro or Business, and its Business tier's CRM sync and conversation analytics are built for sales teams tracking calls at scale. The catch, confirmed across multiple pricing breakdowns: several of its more advanced AI features (meeting notes, highlights, some summarization) draw from a separate "AI credits" allowance rather than being flatly included in the seat price, which can mean a lower-looking sticker price turns into a higher real bill once a team is using those features regularly.
tl;dv targets sales teams directly with its Business tier (native Salesforce/HubSpot sync, AI coaching, customizable playbooks) and its free tier is unusually generous on volume (40 recordings/week) even though AI summaries are capped at 10 total. If your use case is closer to "record everything, occasionally ask AI questions about a call" than "constant daily transcription," the free tier alone may cover you longer than the other three.
Fathom leans hardest into workflow automation — its Premium tier's "Ask Fathom" assistant and auto-drafted follow-up emails are aimed at people who want the AI to do more than summarize, and its Business tier's CRM field sync and coaching metrics compete directly with Fireflies and tl;dv's sales-focused tiers. Its free tier is the most AI-feature-limited of the four (5 calls/ month get AI summaries; recording/transcription itself is unlimited).
